Community engagement is about equity, transparency, and presenting facts about the district’s current challenges and its long-term vision. As with all difficult conversations, data is king.

Public engagement through community outreach should be an integral part of the process for all aspects of facilities planning and funding, from master planning and educational program determination to evaluating voter-approved bond elections.

Collaborative Solution

Our systematic method of reaching out to a community and receiving critical feedback helps school districts plan and finance their facilities. This encourages the collaboration of educators, administrators, policy makers, community members, and facility experts.

Specifically, we help to build consensus about facilities issues that can often be challenging, such as attendance boundaries and redistricting of school sites or prioritizing facilities funding for specific projects.

Quantitative and Qualitative Information

Our process includes both quantitative information, such as enrollment figures and use of Geographic Information Systems (GIS), and qualitative information, such as community input and stakeholder opinions.

The goal is to receive valuable feedback from stakeholders and the community and includes issues that influence the future of education in the school district.

Key Steps in Our Enrollment and Demographics Process

Steering Committee Formation

A steering committee facilitates the development and implementation of the facility master planning process. This committee consists of a broad representation of school and non-school members of the community.

Projection Calculations

The background report serves as a starting point for the facilities master planning process. We gather and summarize data into a comprehensive analysis that gives us an understanding of the history and functionality of a school district.

Final Report

We utilize and assess the information to develop a final report consisting of the historical and projected enrollments, live birth data, U.S. Census data, housing data, census block group projections, graphs, charts, projection descriptions, and recommendations regarding the projected enrollment.

Educational Futures Conference and Community Dialogue #1

The purpose of this meeting is to provide a global view of the future of education. The main focus of this first dialogue is to establish the educational framework for developing options.

This dialogue addresses school size, grade configuration, neighborhood schools and magnet schools, and other educational and community issues that are important in developing options and the final plan. Participants complete individual and group questionnaires and participate in small group discussions.

Community Dialogue #2

We share the facility options with the community during a second community dialogue. During this session, participants rated each of the options and—in a small group format—develop a collective response as to the preferred options.

We then post the small groups ‘ preferred options on wall charts and collect and tally all questionnaires

Final Report and Recommendations

We use the information and feedback we’ve gathered to create a facilities master report that outlines action for each of the school district’s facilities.

We present the recommendations in phases, showing which facilities should be addressed first and then the subsequent order of remaining facilities. The report includes by-facility approximate costs of renovations, additions, replacements, and new construction.
